1. Who we are
Style Kiano, trading as KianoStyle, of Weston-super-Mare, North Somerset, United Kingdom, is the controller of personal data collected through kianostyle.co.uk and store.kianostyle.co.uk. Contact: creatrix.ai.support@gmail.com.
2. What we collect
- Order details: name, delivery and billing address, email, phone number, items bought and order history.
- Payment information is handled by our payment providers (Stripe, and PayPal where used); we do not see or store your full card number.
- Artwork and files you upload (logos, photos, 3D files) and messages about your order or proof.
- Quote and contact form details.
- Messages you type into our website chat assistant.
- Technical data such as IP address, browser and device, and cookie data (see section 8).
3. How and why we use it (lawful basis)
- To process and deliver your order, send proofs and order updates – performance of a contract.
- To answer enquiries and quotes – steps at your request before a contract / legitimate interests.
- To keep accounting and tax records – legal obligation.
- To prevent fraud and keep the site secure – legitimate interests.
- To send marketing emails, only if you opt in – consent (you can unsubscribe at any time).
- To request a review after your order – legitimate interests (you can opt out).
4. Who we share it with
We share only what is needed with:
- Stripe (card, Apple Pay, Google Pay, Klarna and Link payments; UK/EU and USA) and, where used, PayPal. Google Pay and Apple Pay are provided by Google and Apple when you choose them at checkout.
- Delivery companies (such as Royal Mail) to deliver your order.
- Our website hosting provider: our server is in Germany (EU).
- Brevo (Sendinblue SAS, France/EU), which sends our order and account emails.
- Google Customer Reviews: after you buy from our shop you may be offered an optional Google Customer Reviews survey, and Google receives your order number, email address and estimated delivery date only if you choose to opt in.
- The AI service that powers our website chat assistant: messages you type are sent to it (via an API provider using Google Gemini models, which may process data outside the UK, including in the USA and Asia) to generate a reply. Please do not enter payment details or sensitive information in the chat.
Website translation is done on our own server (self-hosted LibreTranslate); page text is not sent to a third-party translation service.
Some providers may process data outside the UK; where they do, appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement are used.
We never sell your personal data.
5. Artwork and photos
Files you upload are used only to make your order and are stored privately. We may show photos of finished items in our portfolio only if they do not identify you, or with your permission. Ask us at any time to remove a photo.
6. How long we keep it
Order and accounting records: 6 years after the end of the tax year (HMRC requirement). Artwork and proofs: up to 12 months after dispatch so we can make repeat orders, unless you ask us to delete them sooner. Chat and enquiry messages: up to 12 months. Marketing data: until you unsubscribe.
7. Your rights
Under UK GDPR you have the right to access your data, correct it, have it erased, restrict or object to processing, data portability, and to withdraw consent at any time. Email creatrix.ai.support@gmail.com to make a request; we will respond within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113).
8. Cookies
We only use cookies and similar storage that are strictly necessary or that you ask for: basket, checkout, login and security cookies; Stripe’s fraud-prevention cookies on checkout pages; and your browser’s storage to remember your language choice and, for the current visit only, your chat conversation. We do not use analytics or advertising cookies. To see how many people visit our websites, which pages they view and how they found us (for example a search engine, social media or a link), we use Matomo visitor statistics, which run on our own server in Germany. These statistics are anonymous and cookieless: no cookies are set, your IP address is shortened before it is stored, logged-in staff are not counted, and the data is never shared with anyone else or used for advertising. We do this on the basis of our legitimate interests in running and improving the site. If we ever add analytics or advertising cookies, we will ask for your consent first and update this page. You can delete cookies and local storage in your browser settings.
9. Changes
We may update this policy. The latest version will always be on this page.
